How it works
One job, one Space, every lesson.
In TutorCruncher, a job links a tutor and student and holds all their lessons. Pencil Spaces follows the same shape.
Before
Add it once
An admin adds Pencil Spaces under System › Settings › Integrations › Online Integrations.
Make it the default for new jobs, or set it on one job under Actions › Select Online Integration.
The job gets a Space, used for all its lessons.
During
Join from the lesson
On the lesson, tutors and students click More details, then Pencil Spaces.
They’re signed in and taken to the job’s Space.
After
Report, invoice, repeat
Write the lesson report and invoice as usual.
Boards and notes are waiting in the Space next lesson.
Setup
Connected in three steps.
You set it up from TutorCruncher. Your Pencil Spaces account is created for you.
Add the integration.
In TutorCruncher, go to System › Settings › Integrations › Online Integrations, select Pencil Spaces and click Add integration. Your Pencil Spaces account is set up automatically.
Make it your default.
In System › Settings › People and Activities › Activity, choose Pencil Spaces as the Default Online Integration and click Save.
Join from a lesson.
On an online lesson, click More details, then Pencil Spaces. Tutors and students are signed in and taken to the job’s Space.
FAQ
Questions, answered.
Do we need a Pencil Spaces account first?
No. When you add the integration in TutorCruncher, a Pencil Spaces account is set up for you. If you already have one, use the same email in TutorCruncher so the two connect.
Do tutors and students need to share links?
No. Everyone joins from TutorCruncher by clicking Pencil Spaces on the lesson, and they’re signed in automatically.
Is it one Space per job or per lesson?
One Space per job by default, reused for every lesson so boards and notes carry over. If you’d rather have a new Space for each lesson, our support team can set that up.
Which lessons get a Space?
Online lessons. Make sure the lesson is an online appointment, without a physical location set.
Who can set it up?
An admin in TutorCruncher. If your company already has a Pencil Spaces institution, an Institution Admin needs to add it.
Is there a free trial?
Yes. New customers get a two-week free trial on any paid plan, with no credit card required.
How is student data protected?
Pencil Spaces is FERPA, COPPA, GDPR and SOC 2 Type II compliant, and ISO 27001 certified.
